Clear guidelines for a smooth booking experience

Booking Policy

Payment Policy

  • To secure your event date, full payment is required at the time of booking. Dates are reserved on a first-come, first-served basis and will only be confirmed once full payment has been received.

Weather Policy

  • For outdoor events, clients are responsible for providing a safe, covered, and weather-protected area for setup and operation.

  • In the case of severe weather conditions (rain, heavy wind, unsafe conditions), Blueprint Events reserves the right to pause or stop services to protect equipment and staff.

  • No refunds will be issued due to weather; however, reasonable accommodations or adjustments may be made when possible.

Cancellations & Refunds

  • All payments are non-refundable. In the event of a cancellation, payments may be applied as a credit toward a future event date, subject to availability and approval.

  • If rescheduling is needed, clients must notify Blueprint Events at least 7 days prior to the event date. We will do our best to accommodate a new date, but availability is not guaranteed.

Client Responsibilities

The client agrees to:

  • Provide adequate space for setup (flat, stable surface required)

  • Ensure access to a reliable power source within a reasonable distance

  • Maintain a safe environment for guests and equipment

  • Ensure that guests treat all equipment respectfully

Blueprint Events reserves the right to end services without refund if equipment is being misused or if conditions become unsafe.

Photo/Video Release

  • By booking with Blueprint Events, the client agrees that photos and videos captured during the event may be used for marketing and promotional purposes, including but not limited to social media, website content, and advertising.

  • We aim to showcase the experience in a professional and respectful manner. If you have specific concerns, please communicate them prior to your event.

Time Extensions & Overtime Fees

All events must adhere to the scheduled booking time.

  • Additional time may be requested during the event, subject to availability.

  • Overtime fees will be applied for any extensions beyond the contracted time.

  • Overtime is typically billed at an hourly rate and must be approved by the client before continuing service.

Setup & Breakdown Time

Setup and breakdown time is separate from the booked service time. Clients will not be charged for setup; however, access to the venue must be available at least 30–60 minutes prior to the scheduled start time.

Access & Delays Policy

Blueprint Events is not responsible for delays caused by late access to the venue, guest delays, or client scheduling changes. Service time will begin at the originally scheduled time unless otherwise agreed upon.

Equipment Damage / Liability

The client is responsible for any damage to equipment caused by guests, misuse, or negligence. Repair or replacement costs may be charged if damage occurs during the event.

Sharing & Delivery of Content

Digital content will be delivered via a downloadable link after the event. Delivery times may vary but are typically provided within 24–72 hours.

Travel / Distance Clause

Events located outside of the standard service area may be subject to additional travel fees.

Right to Refuse Service

Blueprint Events reserves the right to refuse or discontinue service if conditions are deemed unsafe, inappropriate, or if staff are treated disrespectfully. No refunds will be issued in such cases.
